Production Coordinator

ESSENTIAL FUNCTIONS
- Act as the primary contact for Sherwood Auditorium rentals
- Generate contracts for Sherwood Auditorium rental events. Manage
all follow-through including receipt of payment, insurance, press releases,
etc.
- Conduct regular site visits with potential renters of the Museum;
creating production timelines with clients and vendors in preparation
for events
- Ensure MCASD Facilities Policies and Procedures are observed
- Attend special events when necessary
- In collaboration with the Education Manager and the EVS Manager, coordinate
the Arts Partnership Program as it relates to performing arts
- Attend all TNT meetings, work with TNT committee to ensure all logistical
details are set for the event, trouble shoot potential problems
- Create and disseminate Production Timeline for TNT
- Work closely with Education Department to produce TNT
- Assign tasks and oversee Event Managers during TNT
- Organize and implement logistical details for the Film Program, working
closely with the Film Curator to ensure screenings will run smoothly
and that the technology MCASD has is what is required.
- Work closely with the Education Department and Institutional Advancement
to produce the six night Salk Lecture Series
KNOWLEDGE,
SKILLS AND EXPERIENCE
- Minimum of two years' experience planning and coordinating special
events/performances
- Performing arts background and audio visual experience preferred
- Computer proficient – scheduling, word-processing and basic bookkeeping
- Excellent verbal/written communication and interpersonal skills
- Ability to be flexible and able to manage different projects concurrently,
often under pressure
- Ability to set priories and manage time effectively
- Must be extremely detail-oriented, a self-starter and deadline oriented
- Must be able to work harmoniously and cooperatively with other staff,
deal diplomatically with Museum Trustees and community members, maintain
standards of confidentiality and discretion, and deal appropriately
with clients and vendors for events services
TYPICAL WORKING CONDITIONS
• Occasional lifting and driving required. Must be comfortable
standing for long periods of time at Special Events.
