Job Description

Operations Manager

DEPARTMENT : Exhibitions and Programs

REPORTS TO: Director of Exhibitions and Programs

SUPERVISES:   Facilities Supervisor, Visitors Services Coordinator, and Exhibition and Programs Technician

TYPE OF POSITION: Full-time, exempt

SUMMARY:  Manages daily Museum operations in order to provide a safe, clean, and pleasant work environment and visitor experience.  Areas of responsibility include managing staff, vendors, and contractors; defining and implementing operational standards;  managing building and park operations and maintenance, security, parking program, phone, IT, POS , café and retail vendors; and developing and overseeing all associated budgets.    Assess and direct responses to daily operational needs, including but not limited to exhibition maintenance, guest relations and customer service, security, visitor safety, building temperature and lighting, and repairs of building and park systems.

RESPONSIBILITIES

Building and Park

· Define and implement opening and closing procedures for building and park; train staff as needed on those procedures.

· Direct after hours building access policies for staff, volunteers, Board of Directors, and independent contractors (such as cleaning crew or TI contractors).

· Supervise Facilities Supervisor.

· Assess and monitor Museum security needs.  Manage Museum security contractor.

· Oversee phone system vendor, monitor phone system for functionality and repair needs.

· Lead all IT activity for the Museum and IT vendor contract.

· Manage Parking Administration: Ace Parking daily parking operations and event valet services; and point of contact for daily operational issues.

· Administer café and retail vendor contracts, maintain relationships with café and retail managers and staff.

· Liaise as-needed with Events & Rental Coordinator to assess needs, issues and parameters associated with rental events.

· Hire and manage contractor and crew for building improvements and ancillary exhibition construction.

Visitor Experience

· Supervise Visitor Services Coordinator.

· Determine daily building readiness to open and operate safely.

· Serve as primary point of contact for all front-of-house staff regarding day to day operations.

· Respond to high level visitor questions and needs.

· Determine and implement childproofing needs.

Exhibition and Studio Maintenance and Planning

· Supervise Exhibition and Programs Technician.

· Determine crew needs for on-going and major maintenance; hire additional temporary crew as needed.

Additional Duties as Required

QUALIFICATIONS

Education: Bachelor of Arts/Bachelor of Science in related area of study required. 

Experience: A minimum of five years of management or operations experience, preferably in the museum or other cultural institutions.  Must be committed, and sensitive, to working with children.  The ability to deal with the public in a manner which shows sensitivity, tact, and professionalism is essential.  Must be a self-starter, able to make decisions, multi-task and prioritize.  Demonstrates stability of performance under pressure and uses good judgment in making decisions.  Excellent administrative and management skills working with both staff and the public.  Demonstrate commitment and flexibility at all times in order to ensure high quality service.  Bilingual a plus.  Proficiency in Microsoft Word, Excel, Power Point, and Outlook.
